Zapier with Astro
Zapier is excellent when a site event needs to reach another tool quickly and the volume is reasonable. I use it where speed and maintainability beat custom code.

How I set up Zapier
Zapier is the right answer when you need a reliable connection now and the workflow is mostly a straight line. Form submitted, lead created, email sent, row added. That shape is exactly what it does well.
I keep Zaps small, named and easy to debug. Each one has a clear trigger, clear field mapping and a visible failure path.
When the workflow starts branching heavily, looping over records or running thousands of times a day, I will say so. At that point the cheap no-code path can become the expensive maintenance path.
How the handoff works
- 01
Trigger
The site event fires
- 02
Payload
Fields mapped as agreed
- 03
Automation
The steps run in order
- 04
Destination
The record is written
Key handoff
- 05
Verify
It arrived, and failures are seen
Why this is the key handoff
A Zap that ran is not a Zap that finished. A Zap that ran is not the same as a Zap that finished. I check the record in the destination rather than the run history, and that a failure reaches a person instead of sitting in a log nobody opens.

Before you add it
What to watch out for
- 01
Polling triggers are not instant
Depending on the plan, a check runs on an interval rather than on the event. Anything whose value depends on speed needs a webhook, not a poll.
- 02
A step that errors stops the Zap for that record only
Tomorrow's run is unaffected, so failures accumulate as absences rather than as an outage. I configure and test failure notifications so a missed record reaches the right person.
- 03
Task usage is not one per submission
Usage depends on the billable actions that run each time, and a trigger and several built-in steps do not count toward it. I estimate usage from the actual workflow and the expected volume rather than from the number of steps on screen.
